5th Annual General Meeting

Welcome and Introductions: President, Vicki Johnston
Call to Order: President, Vicki Johnston called the meeting to order at 7:00 p.m.
Appointment of Secretary for Meeting:
Moved by Nancy Steele to appoint Leann Cunningham, seconded by- Greg Caldwell. Carried.
Additions/Changes to the agenda:
Moved by David Field to approve agenda as circulated., seconded by Frank Van Hal. Carried.
Presentation by KCVI student Lianna Grice:
Linda Van Hal introduced Lianna who presented "Water Filtration at Big Sandy Bay" a group project which she participated in as part of her International Baccalaureate Programme at KCVI. Lianna ably fielded questions after her interesting presentation. Linda presented a small gift to Lianna for taking the time to come to Wolfe Island.
Approval of minutes of 2008 AGM (Nov. 26, 2008):
Greg Caldwell made a motion to dispense with the reading of minutes and approve them as circulated, seconded by Betty Anne Field. Carried.
Report to the membership:
Copies of annual report were made available. Vicki Johnston discussed highlights from the annual report. See attached report for details. A motion was made by Ken Keyes to accept the annual report, seconded by Ed Kirk. Carried.
Review of Financial statements for the year ended September 30, 2009
Copies of the Friends of Big Sandy Bay financial report prepared by Treasurer Linda Thomas were provided to those attending the meeting. Linda discussed the report. See attached financial report for details. Linda noted that interest from funds invested in a Term Deposit is treated as general revenue.
Auditor's report:
Ken Keyes acted as auditor. He said the financial report was "clear, concise and correct". Ken has signed the copy of the Financial Statements and considers it to be correct. David Field made a motion to accept the auditor's report, seconded by Margaret Knott. Carried.
Election of Directors: It was noted that the quorum of directors and members required by our bylaws is present. The nomination committee consisted of Linda Thomas and Linda Van Hal.

Dennis Doyle nominated Betty Anne Field as a director, Leann Cunningham seconded.
Our bylaws allow up to 10 directors and five remain to complete their second year in office, the following five people were acclaimed to a two-year term to the Board:

Lisa Webb
Ginny Forbes
Betty Anne Field
 
Ken Keyes nominated the following people for the executive positions:
President: Vickie Johnston
Vice President: Nancy Steele,
Treasurer Linda Thomas,
Secretary Leann Cunningham
The motion was seconded by Ed Kirk.
No further nominations were received. The executive officers were acclaimed.
Election of Auditor for year ended Sept. 30, 2010
Moved Denis Doyle, seconded by Linda Van Hal that Brian MacDonald and Ken Keyes serve as auditors. Carried.
Appointment of Signing Officers
It was suggested that we leave signing officers for Board of Directors of Big Sandy Bay the same as last year: Leann Cunningham, Linda Thomas, Linda Van Hal
Motioned by Dennis Doyle, seconded by Ed Kirk. Carried.
Motion to formally adjourn annual general meeting
Moved by Linda Van Hal and seconded by Margaret Knott.
Guest Speaker - Francine MacDonald, Invasive Species/Aquatics Biologist
Francine is with the Ontario Federation of Anglers and Hunters. Francine gave an informative talk, including slides that helped identify the various species she was referring to. She fielded many questions from the audience during and after her presentation. She also provided handouts and promised to send additional copies of brochures to Linda Van Hal.
 
Presentation to Founding President, Linda Van Hal
Linda was presented with a life sized carving of a sand piper done by local artist, Jan Fitch.
Adjournment:
As there was no further business, the meeting was adjourned at 9:00 p.m.
